PROJECT NOTES

Build the request around decision authority

Identify the owner or authorized manager, the property type, location and the person who can approve access and work. Tenants can document concerns, but a provider may need the owner’s authorization before reviewing or performing the scope.

PROJECT NOTES

Separate buildings, units and common areas

Describe how many buildings or units appear affected and whether common systems or access routes are involved. Avoid including tenant names, medical information or other unnecessary personal information.

  • Affected building and unit counts where known
  • Site contact and access coordination
  • Occupied-area scheduling and communication responsibilities
  • Reports or scopes already prepared by existing providers
PROJECT NOTES

Prepare for consistent reporting

Ask providers how they document progress, separate scopes, approve changes and close out work. A portfolio-level request still requires property-specific review. Cat Loss Boss collects the brief; independent providers determine their availability and acceptance.
