PROJECT NOTES

Safety and existing instructions come first

Follow emergency authorities and your insurer’s reporting instructions. Do not climb onto a roof, enter a restricted building or delay necessary emergency action to complete a checklist. Record available information from a safe location.

PROJECT NOTES

Organize the evidence you already have

Use a folder for the event, with files grouped by property area. Keep original files as well as any annotated copies. Capture dates and notes without altering the underlying record.

  • Date or approximate period of the event and discovery
  • Wide views and detail photographs when safe to obtain
  • A list of affected rooms, buildings, units and belongings
  • Receipts for temporary repairs and existing authorized work
  • Provider reports, written scopes and relevant communications
PROJECT NOTES

Share only what is needed for the next step

A provider-review request does not need your Social Security number, bank details or full policy documents. Upload only a relevant PDF or property photo with unnecessary personal information removed. Retain original records separately. FEMA’s flood-damage documentation resource provides additional guidance.
