PROJECT NOTES

Give the provider a commercial project brief

Identify your role and authority, property use, approximate building size and affected area. A 100,000-square-foot building with one affected room is different from damage across the entire facility. Keep total area and observed affected scope separate.

  • Building use, approximate size and number of affected structures
  • Site access, occupancy and operational restrictions
  • Work already authorized and current provider involvement
  • Available reports, photographs, scopes and project contacts
PROJECT NOTES

Make coordination needs visible

Commercial projects may involve tenants, facilities teams, security, utilities, insurers and multiple trades. Identify who can authorize work and what coordination a provider should consider. Describe business disruption without promising or calculating lost-income reimbursement.

PROJECT NOTES

Evaluate the team behind the proposal

Ask about relevant large-loss experience, local coverage, staffing, subcontractor oversight, schedule assumptions, reporting and change authorization. An attractive price alone does not establish a provider’s ability to deliver the scope. Availability must be confirmed for your location and project.
